The School of St Jude is an education institution, entirely funded by charitable donations, that provides free, high-quality primary and secondary scholarships to 1,800 of the poorest and brightest students in the Tanzanian region of Arusha and supports hundreds of graduates through higher education.

We are looking to appoint a Database Officer to provide support by assisting in accurate data entry, ensuring data integrity and management of databases. The ideal candidate will have a passion for community development and a strong interest in NGOs.

Key Responsibilities


  • Contributed to development of an annual database management and cleaning strategy to ensure operational relevance of the databases and accuracy of data.                                        
  • Set personal objectives and task schedules to ensure team KPIs and deadlines are met.


  • Manage data by entering, updating and reviewing data according to St Jude's requirements.
  • Collect data and information from variety of sources such as email conversations, websites and visitor registration forms.                                    
  • Import large data sets for annual student class updates from other platforms into civiCRM.
  • Support the Coordinator in data and information quality control by locating and elimination of duplicates, review the accuracy of new and existing data, perform data cleansing and deduplication, update contact and mailing preference data entries. Ensure data integrity.
  • Make changes to data as required by business office managers or heads of departments.
  • Support the Coordinator in the interface between civiCRM and St Jude's website as required.
  • Assist users and respond to queries via both IT Helpdesk inbox and in person in a timely manner.
  • Maintain awareness of security procedures in regard to storing, recording and transferring data in accordance with St Jude's privacy and child protection policies.
  • Identify training needs and conduct training with database users to ensure effective utilisation of databases.
  • Support the Coordinator in delivery of data security training for new and current employees at time agreed with the HR department.
  • Support departments to develop processes and procedures for the effective utilisation of dataases.
  • Supporter the Coordinator in problem solving issues arising with the databases and liaise with external support providers to develop, test and implement solutions in a timely manner.
  • Assist in the preparation of documentation of procedures, training documents and reports and provide customised reports as requested.
  • Support the Coordinator in the maintenance of mailing lists and mailing schedules as required. 

Monitoring and Review

  • Develop and maintain an annual reporting schedule for the review of financial outcomes, supporter stewardship strategies and procedures.
  • Lead social impact assessment measurement, evaluation and reporting.
  • Monitor annual budget and review monthly financial reports to ensure accurate cost coding and budget compliance.
  • Monitor, review and update fundraising department management plans, including processes and procedures, at least annually in October.

Continuous Improvement

  • Identify opportunities for operational improvements based on knowledge gained through managing the school's data.
  • Always look to develop software or procedure modifications that will ensure effective delivery of the database management strategy and effective supporter communications.
  • Support the Coordinator in collaborating with business office managers, department heads and the database working groups and implementing agreed improvements.


  • Participate in House Checks as requested by Community Relations team.                                        
  • Participate and support fellow staff in school mission related activities such as all School Celebration Days throughout the year.                                        
  • Participate in student selection process, in particular working after hours on rest days and public holidays up to 20 Saturdays per annum.

  • Perform any other duties as assigned by Head of Department, Manager, Deputy Director and Founder.

Skills and Required Experience

  • Degree or higher qualification in business management, marketing and communications.
  • Subject matter expertise with extensive experience and outstanding levels of individual accomplishment.
  • High level of professional, technical and creative skills.
  • High level of mature and experienced judgment, problem solving and people management abilities for International and Tanzanian employees.
  • Outstanding ability to plan, implement, monitor, report and drive continuous improvement of activities and projects of managed department/s.
  • High level of accountability for operation of managed department/s and delivery of major projects/initiatives impacting on strategic goals.
  • Developing and driving strategy for managed department/s and/or strategic goal and advising leaders on key business initiatives.
  • Responsibility for preparing and controlling budget and resources (i.e. people, money, equipment and facilities) of managed department/s.
  • Excellent written and verbal communication in English.
  • Good computer skills (Microsoft Word, Excel, Outlook and databases).

Qualifications, Skills & Attributes

  • Degree qualification in IT.
  • Knowledge in relational Database Management Systems (RDBMS), especially MySQL.
  • Understanding of CMS/CRM database concepts.
  • PHP/HTML viewed favourably.
  • Experience in best practice data entry processing.
  • Information and data analysis knowledge.
  • Ability to problem solve and work under general supervision.
  • Commitment to clear and effective presentation of data and reporting.
  • Demonstrated excellent attention to detail accuracy.
  • Demonstrated initiative and common sense.
  • Strong cooperative, inter-personal, project and time management skills.
  • Fluent in spoken and written English.
  • Demonstrated ability to work as part of a team.
  • Good computer skills (Microsoft Word, Excel, Outlook).

  • Travel between campuses may be required.
